Archive storage media – Boxes, file covers and enclosures (ISO 16245)

Archive boxes (made of cardboard) and file covers (made of paper) are used for archiving and storing documents. These storage materials are included in the National Archives’ regulations on technical requirements and can be tested according to ISO 16245. The requirements cover strength properties, functionality, and material selection.

Purpose

Archive boxes and file covers can be tested according to ISO 16245. The requirements cover strength properties, functionality, and material selection. It is important that archive boxes and file covers are tested according to this standard to ensure the preservation of documents printed on permanent paper and with permanent writing or printing. However, the storage materials cannot compensate for poor storage conditions.

There is also a desire to be able to label archive boxes and other storage materials with self-adhesive labels that do not fall off over time or become illegible. RISE also performs this testing according to RA-FS 2006:4, appendix 3, for self-adhesive labels. Adhesion is a central part of this testing, and two different types of archive boxes (or other types of storage media) are used in the testing

Method

Boxes, file covers and other enclosures are tested and evaluated in our laboratory according to ISO 16245.

A test report and a statement on whether the results meet the requirements of ISO 16245 or not.

Certification – Paper and Archival Materials (SPCR 004)

Documents for archival preservation must meet the requirements in National Archives' regulations RA-FS 2006:4. This is achieved by using certified products according to RISE certification rules SPCR 004. Upon successful testing (e.g., ISO 11798, ISO 11108, ISO 9706), suppliers apply for certification at RISE, which issue those certificates.

Paper testing – Permanent and archival paper (ISO 9706 and ISO 11108)

RISE tests paper for long-term storage in archives; permanent paper (ISO 9706) and archival paper (ISO 11108). Paper that meets the standards' requirements can be certified by RISE and be labeled with the mark "Svenskt arkiv". To create archival documents, permanent or archival paper is required along with permanent writing or printing (ISO 11798).

Self-adhesive labels (RA-FS 2006:4)

Self-adhesive labels are attached to archive boxes and other storage media to inform about the contents. The National Archives’ technical regulations RA-FS 2006:4, Appendix 3, set the requirements for testing the durability of self-adhesive labels. RISE testing evaluates whether the labels meet these requirements.
